How we collect, use and protect your personal data as a Trust Partner client or courier.

1.Data Controller

The controller of your personal data is Ivan Kropyvnyk, operating a business under the name Trust Partner, Tax ID (NIP) 9462755306, REGON 542095050, registered at ul. 2.What data we collect

Depending on how you use our services, we may process the following data:

  • identification and contact data: full name, phone number, email address, home address;
  • data submitted via online forms (courier registration, vehicle breakdown report, newsletter sign-up or unsubscribe) — handled by the external service Airtable;
  • rental data: type and number of the rented vehicle, rental period, payment history;
  • content of correspondence conducted by phone, email, Telegram (including via the @trust_assistant_bot bot) or WhatsApp;
  • technical data about site visits (IP address, device and browser type, cookies) — see point 7.

3.Purposes and legal basis for processing

We process data for the purpose of:

  • concluding and performing the vehicle rental agreement (Art. 6(1)(b) GDPR);
  • handling requests, complaints and technical support (Art. 6(1)(b) and (f) GDPR — our legitimate interest in efficient customer service);
  • keeping accounts and fulfilling tax and accounting obligations (Art. 6(1)(c) GDPR);
  • sending newsletters and marketing information — only after you have given consent (Art. 6(1)(a) GDPR), which you may withdraw at any time;
  • establishing, exercising or defending against legal claims (Art. 6(1)(f) GDPR).

4.Who we share data with

Data may be shared with entities supporting our business, in particular:

  • Airtable, Inc. — online form processing;
  • website hosting and technical service providers (including Jetpack/Automattic);
  • Telegram FZ-LLC — for correspondence conducted through our bot and Telegram channels;
  • accounting office and tax authorities — to the extent required by law.

We do not sell your personal data to third parties.

5.Transfers of data outside the EEA

Some of our providers (e.g. Airtable, Telegram) may process data on servers located outside the European Economic Area. In such cases, we ensure that the transfer is based on appropriate legal safeguards, including standard contractual clauses approved by the European Commission.

6.Data retention period

We retain data for the duration of the rental agreement and for the time necessary to establish claims or fulfill legal obligations (in particular tax obligations — usually 5 years from the end of the year in which the tax obligation arose). Data processed on the basis of consent (e.g. newsletter) is retained until the consent is withdrawn.

7.Cookies

Our website uses cookies to ensure its proper functioning, analyze traffic, and — only with your consent — for marketing purposes. You can manage your consent at any time through the consent settings visible on the site or in your browser settings.

8.Your rights

Under the GDPR, you have the right to:

  • access your data and receive a copy of it;
  • rectify (correct) your data;
  • erase data ("right to be forgotten");
  • restrict processing;
  • data portability;
  • object to processing based on our legitimate interest;
  • withdraw consent at any time, without affecting the lawfulness of processing carried out before its withdrawal;
  • lodge a complaint with the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland.
